Your privacy when you book a retailer Hanei pilot

Seven fields. One legitimate interest. No marketing list.

This notice explains what happens to the information you give us when you fill out the Retailer Pilot booking form on hanei.uk. It's deliberately short. If anything is unclear, email info@hanei.uk and we'll explain.

Who's looking after your data

Hanei Ltd (company number 16900540), registered at South Park Studios, 88 Peterborough Road, London SW6 3HH. We're the data controller for everything you submit through this form.

What we collect from this form

Seven things:

  • Your full name
  • Your email address
  • Your mobile number
  • Your store name
  • Your store's postcode
  • Which ePOS (till) system your store uses — e.g. PayPoint One, ShopMate, Epos Now
  • How many convenience stores you own — just this one, 2-3, 4-10, or 11+

Plus a record of when you submitted the form.

The ePOS and store-count fields are about your business — what till system you use and how many shops you operate. They're not personal data about your customers; we ask them so we can tell you up front whether Hanei integrates with your current till, and so we can prepare for the right kind of conversation at the visit (a single shop and a group of stores need different things). We don't ask for, and the form doesn't capture, anything else.

Why we collect it, and the legal basis

We collect it to do one thing: arrange a 15-minute visit to your store to explain the Hanei pilot, and to follow up if you ask us to.

Our legal basis under UK GDPR is legitimate interest (UK GDPR Article 6(1)(f)) — specifically, the "legitimate interest - lead" basis. You actively reached out to us by submitting this form, which gives us a legitimate interest in contacting you about your enquiry, and you would reasonably expect us to do so. The form's submit-action statement makes this clear, and you can object to our continued processing at any time (see "Your rights" below).

We do not collect marketing consent through this form. If you want occasional updates about the Hanei retailer programme beyond the pilot enquiry itself, we'll ask you separately at the right time — and you can opt in (or stay out) then.

Who we share it with

We use HubSpot (CRM software) to store this information securely. HubSpot is a US company; UK data is held in the European Union under HubSpot's standard contractual clauses approved by the UK Information Commissioner.

We don't sell, rent, or share your information with any other third party. We don't give it to brands, advertisers, or other retailers. It stays with Hanei and is used only for the purpose above.

What about your shop's data once the pilot starts?

A separate question worth answering up front: if you sign our Pilot Agreement, what happens to data from your till and screen during the pilot itself?

Under our standard pilot operations, Hanei does not process the personal data of your customers. The till data we use is aggregated transaction information (what sold, when, at what price) — not anything that identifies an individual shopper. Screen-interaction data is anonymous counts and patterns. This is set out in clause 13.2 of the Pilot Agreement, which we'll send you to review before anything's signed.

If our operations ever do involve personal data in the future — for example, a new feature that crosses into identifying individuals — clause 13.3 of the Pilot Agreement commits us to put a separate data-processing agreement in place with you before that happens, on terms that comply with UK data protection law. Nothing changes silently.

The notice you're reading right now covers only the data you give us through this form to arrange the pilot visit. It's separate from the operational data covered by the Pilot Agreement.

How long we keep it

If you book a pilot and we visit you: we keep your details for 6 years from the end of our pilot relationship, in line with standard UK business record-keeping (tax, contract, dispute resolution).

If you submit the form and we don't end up visiting (you cancel, we can't reach you, you change your mind): we delete your details 12 months after submission.

Your rights

Under UK GDPR you can ask us to:

  • See what data we hold about you
  • Correct anything that's wrong
  • Delete your data (subject to legal record-keeping obligations)
  • Restrict how we use it
  • Receive a copy of your data in a portable format
  • Withdraw consent at any time (this stops future contact but doesn't undo contact that's already happened)
  • Object to specific uses

To exercise any of these, email info@hanei.uk with your request. We'll respond within one month.

Cookies and tracking

The pilot landing page uses HubSpot's analytics cookie to count visits and measure how well the page is working. It doesn't identify you personally unless you submit the form. You can decline this cookie when you arrive on the page using the cookie banner — declining doesn't affect your ability to submit the form.

We don't use third-party advertising cookies on this page.

Changes to this notice

If we change this notice in a way that affects you, we'll tell people on our active pilot list by email. The "last updated" date at the top will change too.
